Board Role Responsibilities
President
- Responsible for leading the CHAPTER and managing its activities per the policies and procedures of the Association for Computing Machinery (ACM).
- Ensure that we follow the bylaws and the decisions and policies of the Executive Board.
- Preside at all official business meetings of the CHAPTER and all official meetings of its Executive Board.
- Notice when we have gaps that should be filled, whether it be in key skills or structural mis-matches, and propose action to address it.
- Be aware of ANE’s connections to other Agile groups, companies that can host events, and groups whose mission complements ours. Help ANE to keep these connections fresh.
- Look for ways that ANE can have more impact on spreading Agile practices in our area.
- Be about Agile principles in how we all do our work.
Vice President
- Preside at official business meetings or events (ANE board meetings or other ANE events) in the absence of the President
- Assist the ANE President in the management of the Association for Computing Machinery (ACM) Chapter – also known as Agile New England
- Managing its activities per the ACM approved bylaws as well as with decisions and policies of the appointed Executive Board
- Perform other duties that the President may assign
- Help various Functional Teams as needed, especially if volunteers are not able to make it to ANE monthly meetings (different types of roles if in-person vs. online monthly meeting)
- Able to attend ANE board meetings, ANE monthly meetings, ANE Functional Team meetings as needed, ANE events like Agile Games and Mob Programming, etc.
Secretary
- Keep the minutes of all CHAPTER business and Executive Board meetings (this includes full minutes of monthly Board meetings and a record of all proposals and decisions made during other Board short meetings)
- Submit any proposed amendment to the CHAPTER bylaws to the Chair of the ACM Membership Services Board
- The Board must approve proposed amendments before being submitted to the CHAPTER’s membership for a vote
- Maintain the Board Meetings in the ANE Google drive shared directory in collaboration with the Membership / Registration group, maintain membership records
- In collaboration with the Treasurer, the Secretary shall present any required reports during the Annual Business Meeting.
- Serve as an emergency backup to the Treasurer
Treasurer
- Change all financial passwords after yearly elections
- Manage access to financial passwords
- Pay Monthly bills and reimbursements to volunteers, speakers, etc.
- Present periodic financial summaries at board meetings
- Manage our tax-exempt status with the ACM
- Track automated payments
- In the event of a new Treasurer taking office, update related records, e.g., change ownership on all financial websites and online accounts to the new Treasurer; change the State Tax Exempt form to the new Treasurer’s information; inform the bank of the new mailing address
- When there are new other elected officers, do updates (change bank account signers, as necessary; manage the use of ANE credit cards, alert ACM of new officers)
- For conferences and other events, maintain budgets, financial reports, get ACM approval where needed, arrange liability insurance thru ACM, Pay/Manage event-related expenses and revenue
- Post entries to online accounting software (Quickbooks Online)
- Create financial reports to aid in decision making by the Board
